Electronic Registration Department

I. History

The Student Department has been operating since 1964. In 2006, it continued its activities as the Registration Department within the Department of Education, as a result of structural changes in November 2016 - as the Department of Admission and Registration of Students, and since November 2019 - as the Department of Registration and Assessment of Students' Knowledge.

II. Activities

The main activities of the Electronic Registration Department are:

1. Registration in connection with the admission of students (at the bachelor's and master's level);

2. Ensuring the availability of the necessary documents in the personal files of students studying in the bachelor's and master's programs of the university, their registration and storage in the department during the period of study until submission to the archive of the department;

3. Carries out the input of personal data of graduates (citizens of the Republic of Azerbaijan, as well as foreign students) into the system according to the DCS (Diploma Confirmation System);

4. Ensures the entry of information about students into the database in all aspects;

5. Submission of orders to the Ministry of Education for obtaining state-issued documents (diploma forms and diploma supplements), certificates and submission on the basis of an act of a certain number of diplomas, diploma supplements and certificates received in the Special Department, written on the basis of orders in the relevant specialties, and registration of them in the book allocated for this purpose, to graduates;

6. Submission of explanatory notes to the rector indicating the reasons and numbers of damage to diplomas, diploma supplements, certificates and Drawing up an act based on the approval of the rector and transfer of these documents to the Special Department

7. Inclusion in the system "TIMS-Higher and Secondary Specialized Education" of the Ministry of Education of the Republic of Azerbaijan of graduates of the university with bachelors and masters by years; Orders received from faculties in areas (internal-external transfer, expulsion, academic leave, change of surname, first name, patronymic, transfer from course to course).

8. Keeping extracts from orders issued in relation to students in the personal files of students and ensuring the fulfillment of other requirements arising from the order, issuing temporary certificates based on applications from students, as well as issuing certificates of completion of higher education;

9. Calculating scholarships by specialization within faculties and transferring the results to accounting;

10. Developing the HSSES system (Higher and Secondary Specialized Education Subsystem);

11. Collecting personal files of reinstated students;

12. Issuing academic certificates;

13. Organizing the efficient operation of the electronic education management system;

14. Creating an electronic registration system: Developing a modern platform for registering students;

15. Data digitization: transferring existing data on students and graduates to the system;

16. Ensuring data security: implementing modern encryption systems to protect data;

17. Tracking student results: integrating grades, transcripts, and academic performance into the electronic system;

18. Developing mobile applications: ensuring the availability of the electronic registration process on mobile devices;

19. Employee training: Conducting employee training on the efficient use of the electronic system;

20. Student training: preparing instructions explaining the online registration process to students;

21. Creation of an archival system: storing old student data in a digital archive;

22. Calculation of scholarships by specialties within faculties and transfer of results to accounting;

23. Continuous monitoring and updating: regular checking and updating of the system performance.
